Administration & Operations Manager – Adventure Travel – £30 - £35k – west London


An Administration & Operations Manager is required by our client, a growing luxury adventure travel tour operator who have a reputation for ethical excellence and understand the value of cultural exchange and responsible travel.  As Administration & Operations Manager you will managing the successful running of core client administration key to the customer journey, as well as some general office management duties.

Administration & Operations Manager – what will you do?

  • Manage the team (3) and the day-today running of the administration department, including staff rotas
  • Manage EGT and FIT Tour Queues to make sure client payments and docs are processed on time
  • Review and assessment the client documentation journey, from paying deposits to receiving travel documents
  • Ensure that all required client documentation is accurate and received in a timely manner
  • Ensure all client have completed a booking for, and their travel insurance details and next of kin is on the system
  • Taking client deposit payments and final balances
  • Emailing clients booking receipts
  • Chasing client final balances (Pax can pay through the client portal)
  • Preparing FIT client travel documentation (covering letter, final itinerary, final invoice, flight tickets, ATOL certificate, travel wallet, pen, luggage labels, travel essentials & RT leaflet)
  • Preparing EGT client travel documentation (joining instructions, latest version trip dossier, PDI, flight tickets, ATOL certificate, TL Profile, final invoice, luggage labels & RT leaflet)
  • Processing client refunds through accounts and updating their AXUM booking
  • Making sure visa instruction templates for tailor made clients are correct and up-to-date
  • Minor office management tasks such ordering office supplies, office maintenance, and ensuring health and safety in the work place


The successful Administration & Operations Manager will have a background in operations/administration in the travel industry.  As Administration & Operations Manager you will show leadership and the ability to lead a team to achieve deadlines.  You will demonstrate strong attention to detail, be able to plan ahead and work on your own initiative, whilst always demonstrating excellent organisation, communication and interpersonal skills that help enhance the customer experience.
