Assistant Product Manager 4 Mediterranean up to £25k 


To work alongside the Product Manager to grow and enhance the portfolio of properties to include contracting of the product on an annual basis, qualitative control, health and safety checks and sourcing of appropriate suppliers.

To oversee the day-to-day operational file handling of all subsequent reservations throughout the booking process; from a client and supplier perspective.

The role will also require involvement with the sales and reservations teams and with prospective clients, as well as product training and support to other members of the reservations team.

The candidate will require drive, ambition and a ‘can-do’, flexible approach in order to continue to grow revenue and maximise margins.



• Annual contracting and negotiating rates and commission levels with existing and new villa owners

• Source new product to innovate and ensure what our client is offering is relevant, creative, marketable and relevant to clientele. Keep abreast of product featured in key media. More importantly, to appreciate what clients are actually asking for

• Ensuring villa owners adhere to the contracting requirements including Health & Safety audits

• Sourcing and producing marketing collateral (text and imagery) for web purposes and as required for any ad-hoc marketing campaigns

• To organise and operate PR trips for journalists as and when required and to coordinate staff educational trips

• Adding all relevant data to in-house reservations systems and ensuring information is accurate, up to date and amended when needed

• Building and maintaining excellent relationships with key villa providers

• To ensure that we are buying product at a competitive rate. Lead all negotiations. To report of the profitability of performance of product within your region

• Source appropriate local representatives and suppliers to enhance the villa experience

• To ensure that the Travel Consultants are product knowledgeable and fully supported, enabling them to ‘sell’ the destinations effectively.

Reservations / File handling

• Working independently to manage the booking process of villa bookings in the given area. Take responsibility for a booking from ‘point of sale to point of departure’ (or upon confirmation from a colleague), from initial follow up to enquiry to calling the client on their return from holiday

• Booking and confirming all aspects of the clients’ holiday with the villa owner and arranging additional services as required

• Ensure that services are correctly booked in in-house database/reservations system so that supplier costs are accurately recorded and updated as necessary to minimise invoice errors and accounts queries

• Maintain up to date and tidy files so that colleagues can work independently from the information contained within them

• Producing final travel documents for clients and for suppliers, to include a detailed operational itinerary

Operating Procedures

Client contact (when required)

• Use effective questioning techniques to establish client requirements to ensure that you are able to match their requirements appropriately and profitably

• Ensure that quotes and proposals are produced and communicated to client within 24hrs. (if not possible the client is kept up to date as to progress)

• Maintain regular contact with direct clients and travel agents to keep them informed of progress and status of booking and thus ensure client satisfaction

• Resolve client complaints quickly and efficiently

• Ensure that services are correctly booked in the in-house database/reservations system so that supplier costs are accurately recorded and updated as necessary to minimise invoice errors and accounts queries

• Maintain up to date and tidy files so that colleagues can work independently from the information contained within them


• Make full use of IT in order to ensure maximum efficiency and make recommendations as to future enhancements

• Take responsibility for problem solving in a professional and diplomatic manner to maintain client service levels

• Provide cover for absent colleagues so that service standards are not adversely affected

• Ensure that all enquiries and messages are handled promptly to ensure client satisfaction

• Represent the company at client events and trade exhibitions as required

Revenue and Profitability

• Monitor and pursue all quotes and proposals sent to ensure maximum conversion to sales

• Be aware of the team sales target and work to ensure these are reached or exceeded to maximise profitability of the team

• Maximise profits through accurate use of in-house database/reservations system and margin guidelines.

• Ensure that client deposits are received before booking status is set to confirmed

• Ensure final payments are received 70 days before departure (or as soon as practical with regard to late bookings) in order to improve cash flow

• Minimise costing errors through attention to detail


Within your team

• Ensure that internal documentation and product information is read and circulated in order to maintain up to date information

• Share your own product knowledge through meetings and presentations to ensure that team members benefit and that clients can be given specialist service

With suppliers

• Attend supplier presentations and functions when required to maintain up to date product knowledge

• Identify errors and discrepancies in supplier reconfirmation to ensure that all information sent and/or advised to clients is correct

Standards of Performance

• Adhere to hours of work to maintain regular cover for client enquiries

• Promote a professional impression of the company through appropriate dress code and internal and external communication

• Meet or exceed client expectations by maintaining an accurate and consistent approach to work

• Ensure that your work area is kept clear and tidy to assist with effective organisation throughout the department

Skills and abilities

• Excellent verbal and written communication skills

• Detail oriented with excellent organizational skills and ability to multi task

• Strong geographic, destination, cultural and world affairs knowledge, especially in Europe

• Ideally should have excellent knowledge and experience of Europe and skiing in particular

• Intermediate computer skills required (Microsoft Office) and ability to quickly master new technologies

• Good judgment and problem solving skills and high numerical ability

• Ability to work in a team environment and equally upon own initiative

• Excellent inter-personal skills

• Contracting experience preferred
