A Concierge Operations executive is required to join the operations / support team of highly accredit travel company . Working from superb luxury offices in central London this wide-ranging role incorporates varied administrative tasks which are integral to the smooth running of holiday sales and operations. You will be a pivotal member of the team. Accuracy is critical to this position ensuring the client receives a seamless level of support and service throughout their engagement  the role serves as an ideal entry point into subsequent positions within either sales or operations for those considering their travel career path.

Concierge Operations Executive Responsibilities:

* Confirm all services on behalf of the sales team and complete the relevant checklists for all bookings

* Generate, check and format confirmation documentation for all bookings generally aiming for 24-48-hour turnaround from request to confirmation

* Check bookings to ensure all services are booked correctly in accordance with the proposal that has been sold to the client

* Support the sales team with booking amendments and questions at times they are absent

* Liaise directly with clients regarding any involuntary changes to bookings and offer alternatives

* Take payments on behalf of the sales team where necessary

* Request invoices from suppliers and check costs against the bookings before sending to Accounts to ensure they are paid on time

* Managing final balance payments to ensure they are received on time from the client

* GDS (flight system) – checking names are correct, and numbers are stored and seats are booked

* Diary management in Outlook– adding in clients’ birthdays and sending cards, adding in ‘touchpoint dates’, adding in pre and post travel calls and adding in flight ticketing deadlines.

* Generate and format clients Final Travel Documents including the itinerary, e-tickets and anything else that is needed

* Check all client documentation close attention to detail is imperative

* Take responsibility for problem solving in a professional and diplomatic manner to maintain customer service levels

Concierge Operations Executive skills  

* Exceptional customer service and rapport building.

* Excellent writing skills and command of English grammar

* Outstanding attention to detail

* Strong sales approach

* Numerate and data literate

* Organised, but able to be flexible to juggle priorities

* Excellent time manager and strong team player

* Ability to multi-task and work under pressure and to deadlines
