Shendish Manor Hotel & Golf Course

Title: Sales & Events Co-ordinator

Department: Sales

Reporting to: Sales Manager

Salary: 15.5k (weekend work would be included)

Main Responsibilities


To maximise all sales opportunities and convert enquiries into bookings to maximise revenue, profit and the satisfaction of guests.
To provide a consistently high level of standards and customer care in the running of the conference and banqueting sales office.
To ensure that all bookings and enquiries are dealt with correctly.
Provide relevant training to enable C & B Co-ordinators to carry out their duties effectively.


Main Duties


Taking enquiries / bookings for conference and banqueting events over the telephone or face to face using client orientated sales approach.
Training C&B co-ordinators to perform their duties to the standards required, especially in relation to maximising revenue and customer satisfaction
Maintaining the conference diary in order to maximise space and revenue.
Preparing, updating and filing all correspondence relating to conference and banqueting.
Preparing the conference and banqueting function sheets with completed final and accurate details for both the clients and the hotel operational benefit.
Logging all conference and banqueting enquiries and maintain and effective follow up system to secure business and provide an after sales service in order to secure repeat business.
Carrying out any other reasonable request made by management and hotel guests/organisers.
Ensuring that all purchase orders are given to the General Manager for authorisation.
Conduct show rounds of the Hotel when possible to sell the Hotel to the best of your ability


Customer Care


Follow up enquiries with a courtesy call / email
Greet guests on arrival, where possible and check event details for the day.
Put relevant postings through for that event
Arrange hire of AV equipment or anything else that needs to be hire in as required and complete relevant documentation
Maintain high levels of customer care through the entire sales process
Maintain communication and good working relationships with other departments.
Follow-up care after the event, with all feedback responded to and sent onto the relevant departments.


Sales


Assist the Sales Manager to maximise C & B revenue and profit through selling techniques, calendar / time management and pricing strategy
Ensure maximum occupancy and rates are achieved wherever possible.
Be actively motivated in hotel sales projects, attending sales meetings and entertainment clients.
Prepare weekly information required for meetings, including conference feedback and statistics
To assist with any sales activities in the hotel
Establish and maintain strong business relationships with key customers
Produce weekly and monthly rolling c & e forecast with detailed analysis of the business on the books (from Rendezvous and RoomMaster) plus expected revenue pick-up with the Sales Manager
To ensure the C & E Sales Team are working well with all other departments to increase revenue in every avenue possible
Implement an effective selling strategy with the Sales Manager, utilising the demand calendar and ensure this strategy is adhered to
Ensure need periods are identified and communicated quickly to allow maximum selling time
Keep on top of Group Blocks to ensure room revenue is at its highest
To review market trends and competitors to analyse our business going forward
Compile reports as and when necessary, which will assist in identifying peaks and troughs, business patterns, productivity and profitability
Be familiar with all company selling procedures and promotions


Security


Ensure security of any cash / cheque / credit / debit cards that are received are handled in the appropriate way and posted onto RoomMaster


Health & Safety


Understand and comply with the company's policy on health and safety.
Carry out duties in a safe manner having regard for the health, safety and welfare of self, colleagues, guests and other persons on the hotel premises.
Thoroughly familiarise and comply with the hotel's fire evacuation procedure, and understand your responsibilities within it.
