Operations Administration Manager Maternity Cover

We have an exciting opportunity for a travel industry professional to join our Company as an Operations Administration Manager maternity cover for 12 months. The successful candidate will be responsible for ensuring the smooth and efficient running of the Operations Administration department which looks after six of The Travel Corporation’s successful guided vacation brands: Trafalgar, CostSaver, Insight Vacations, Luxury Gold, Grand European Travel and Brendan Vacations.

As Operations Administration Manager you will motivate and manage the team of 14 permanent and seasonal employees ensuring delivery of exceptional service to our Travel Directors, overseas offices, external suppliers and other departments within The Travel Corporation and ultimately play a key role in the delivery of once in a lifetime travel experience for our guests.

  • Manage the team and the day-to-day running of the Operations Administration department
  • Planning and allocating work, monitoring achievements and deadlines and supporting staff as appropriate, oversee individual job responsibilities
  • HR administration, training and recruitment for non-seasonal staff
  • Creating a positive working environment in which staff can achieve their best  Managing staff performance and development
  • Ensuring the delivery of exceptional customer service both internally and externally
  • Short and long term planning
  • Maintaining the existing processes, streamline and improve processes to maintain integrity and relevance of the systems in place
  • Sharing information and knowledge and enabling cooperative working across teams, other departments
  • Liaising with our selling offices to ensure all operational details are correct (sharing relevant training documents, dealing with enquiries, product and procedural changes)
  • Close communication with other departments e.g. Product, Product Build, Brand teams (setting up procedures for new trips, reviewing & improving existing practises, ensuring seamless flow of information, implementation of changes put in place, system amendments)
  • Pre-season dealing with our Transport department related to contracting of the ferry, train and flight elements, monitoring Travel Director feedback, dealing with post contracting issues/minimising impact on itineraries and guests experience
  • Setting up transfer timings for Trafalgar/CostSaver, updating relevant brochure pages related to Transfers
  • Review and assessment of the Travel Directors’ documentation
  • Pre-season updates
  • Managing pre-departure operational changes, dealing with on road issues & emergencies and post trip enquiries
  • Overseeing the contracting process of venues visited by our groups, developing relationships with the key suppliers
  • Handling emergencies / crises - on call duty including evenings and weekends on a rota basis

The successful candidate will have a background in operations and administration in the Travel Industry and team management experience with the ability to lead a team and meet deadlines. You will demonstrate strong attention to detail, be able to plan ahead and work on your own initiative, whilst always demonstrating excellent organisation, communication and interpersonal skills that help enhance the guest experience. Flexibility with working hours during busy periods is essential.
