Operations Executive

Off-the-beaten-track specialists Travel The Unknown arrange small group and tailor-made tours of the highest calibre to a select range of destinations around the world. The company are now looking for a full time operations person and administrator to join their small operations team and help the company grow to the next level. The job come with significant personal development and job advancement opportunities. There may be the opportunity for some international travel (usually after completing one year).

Job Purpose: As a key member of our small team you will be responsible for a broad range of key tasks within the business including dealing with clients and sometimes potential clients, pre-trip, and post trip, preparation of itineraries and trip documentation, dealing with suppliers in a wide range of countries, maintenance of customer management system and website, managing interns, managing group communication, and dealing with a variety of situations as they occur.

Key responsibilities:

  • Liaising with suppliers from a range of different countries
  • Working closely with the sales team to handle bookings
  • Invoicing and preparation of trip documentation
  • Basic account logging and management of payments
  • Flight bookings - using Galileo and liaising with flight agents to arrange flights for clients
  • Brochure mail-outs and follow-ups
  • Management of interns and their projects
  • Answering phone calls, responding to emails and being flexible to work on tasks as they arise
  • Attending B2B fairs such as the World Travel Market to meet suppliers
  • Helping at trade fairs (speaking with clients, preparation of documents, help setting up etc)
  • Being responsible for answering the emergency phone number when needed

Knowledge, skills and competencies:

  • Impeccable attention to detail
  • Strong organisational skills 
  • Excellent communication skills, both written and verbal
  • Good IT skills (Word/Excel/Gmail/Internet predominantly)
  • Knowledge of any of our destinations is an advantage
  • Good team player
  • Customer focus
  • Financial awareness and strong numeracy
  • Ideally 2 years’ travel industry experience or more
  • Genuine personal interest in travelling
