The company are looking for a full time operations executive to join the Operations team. The job comes with significant personal development and job advancement opportunities. 

Job Purpose:

As a key member of our small team you will be responsible for a broad range of key tasks within the business including dealing with clients and potential clients by phone and email mostly, pre-trip, during the trip and post-trip, preparation of itineraries and trip documentation, dealing with suppliers in a wide range of countries, maintenance of customer management system, managing emergency phone out of hours (on rotation basis), and dealing with a variety of situations as they occur. We are looking for a long term employee who is a real team player, willing and able to grow with the role. The role comes with the opportunity for overseas travel to build on current knowledge, and forge new paths in travel. 

Key responsibilities:

  • Liaising with suppliers from a range of different countries
  • Make flight bookings (knowledge of Galileo is an advantage)
  • Helping clients with pre- and post-trip tour arrangements
  • Following up with clients post-trip for feedback
  • Invoicing and preparation of trip documentation
  • Basic account logging and management of payments
  • Brochure mailouts and follow ups
  • Answering phone calls, responding to emails and being flexible to work on tasks as they arise
  • Helping at trade fairs and occasional travel events (speaking with clients, preparation of documents, help setting up, etc)
  • Overseas familiarisation trips to expand and develop product knowledge (after completing one year)
  • Handling of emergency phone for out of hour calls (on rota basis)

Skills and competencies:

  • Preferably have experience working in the travel / tour operator industry
  • Impeccable attention to detail
  • Strong organisational and administration skills
  • Strong work ethic and willing to put the company first
  • Excellent communication skills, both written and verbal (fluency in English essential)
  • Good IT skills - especially working with spreadsheets. (Word/Excel/Gmail/Google Docs/Internet)
  • Minimum 1 year’s experience in client-facing role
  • Knowledge of any of our destinations is an advantage
  • Good team player

  • Financial awareness

The office hours are:  Mon-Fri, 09:00/09:30 - 17:00/17:30. The office is based in Putney, close to Putney Bridge tube station or 10 min walk from Putney Rail Station.

There is also complimentary access to a good gym.
