JOB DESCRIPTIONJob Title:Sales and Event Executive (Short Lead)Reports to:Head of Event Management Head of Sales Main Purpose of the RoleTo work within the Sales and Event Management Teams achieving successful delivery of short lead meetings and events taking place at the Ricoh Arena within an 8 week period. To grow proactive sales of the venue short lead business, enhance the standard of events and increase the incremental sales spend of the event. Proactively working with organisers to achieve a successful event for both the organisers and the venue.To operate and maintain the venue booking system (Delphi), produce detailed Event Function sheets and P&L's ensuring the highest standards of accuracy within a set time scale for customers, staff and management information Collecting all event feedback from clients post event to achieve successful rebook of future events Key Areas of ResponsibilityMain Objectives"To process sales enquiries for the venue and to actively work as part of the sales and event management team to increase and enhance the level of sales coming into the venue within an 8 week period "Proactively selling the facilities by various technicians and always aiming to meet customers' needs and exceed customer expectations "Maintaining a high conversion rate."To operate and maintain the systems for client ordering and all related processing, insuring the highest standards of accurate and timely customer, staff and management information"To insure all administration is accomplished effectively and accurately "Demonstrate full knowledge of the hotels facilities and specific room types and locations and be able to convey information regarding offers and forthcoming Arena and Casino "Knowing your competitors, their selling rates and facilities "Producing banqueting event orders within set times scales providing all departments with full event details"Raising final event invoices within a set time scale "Produce accurate P&L's when required for high value events "Liaise with onsite and offsite contractors arranging additional services for clients and drive incremental revenue "Accurately process all documentation and correspondence in a timely manner "Attend pre-event client meetings as required to obtain final event details for venue operational teams"Ensure all event documentation is signed by the client submitted to venue within agreed venue timeliness "Liaise regularly with operational departments to ensure clients expectations and requirements are met "Representing the department in professional manner to clients, suppliers and internal colleagues "Attend weekly sales meetings and event planning meetings and Knowledge and ExperienceExcellent written, interpersonal skills and general administration skills Effective team working skills and the ability to work independently using own initiative12 months experience in a busy hotel or event environmentAbility to work quickly and efficiently Ability to meet deadlines and excellent organisational skills Flexibility in terms of working hours i.e. be prepared to adapt to deadlines dictated by an event, especially around key dates.Personal QualitiesDemonstrate a professional approach which generates credibility and confidence in others.Possess a customer service ethic with a strong client and customer focus.Be confident and assertive with a self-motivated approach and flexible attitude.Possess the ability to overcome obstacles to solve problems to achieve results.The ability to work with little supervision and manage time and priorities accordingly.Possess a personal commitment to continuous self-development. The flexibility to work outside normal office hours and cover event days where required which will include weekends and public holidays.
