Operations Assistant

Trafalgar, CostSaver, Insight Vacations, Luxury Gold, Grand European Travel and Brendan Vacations are the world’s leading travel companies specialising in guided holidays in Europe & Great Britain. We are looking for highly motivated individuals to join our Operations Administration Department based in Central London (Victoria/Hyde Park Corner area). You will be responsible for providing operational and administrative support to colleagues in the office and Travel Directors on the road. This role will give the successful candidates the opportunity to learn more about the fantastic brands Trafalgar, Insight Vacations, CostSaver, Luxury Gold, Grand European Travel & Brendan Vacations as well as experience various aspects of the business.

Main Responsibilities are as follows, but not limited to:

  • Preparing and dispatching Travel Director Documentation.
  • Day to day communication with Travel/Directors (on the phone, by email and when they come into the office)
  • Liaising with our external suppliers on any enquiries concerning our groups.
  • Using In-house system for tasks allocated.
  • Liaising with our reservation offices across the globe with queries on itineraries
  • Assist with booking Eiffel Tower Tickets.
  • Assist with Stock inventory and stock replenishment
  • Assist with checking the Daily Action Report to check new bookings/late cancellations
  • General administration duties

Qualities we are looking for:

  • Fluency in English, spoken and written; excellent communication skills
  • Ability to multi-task, prioritize workload and work to deadlines
  • Be able to demonstrate keen attention to detail
  • Good team player and willingness to help others when required
  • Understand the need to give first class customer service
  • Pro-active with positive and can do attitude
  • Able to work well under pressure
  • Confident professional telephone manner

The position is full time and hours include some evenings (until 19:00), early mornings (from 07:20), Saturdays and Bank Holidays on a rotation basis.

During busy periods we would like you to be flexible and be prepared to work longer hours if necessary.
