Travel Office Administrator - £15k - Norfolk

Our client is an award-winning specialist Tour Operator who are looking for a proactive Administrator to join their small, but expanding team. Initially and longer term your primary role will be to carry out general office administration and learn all aspects of the business, from taking bookings and invoicing customers through to managing mailshots and helping to prepare for holidays that are due to depart.
Your duties will be to:

  • Professionally handle incoming calls/emails from customers, take brochure requests, balance payments, and assist in the sale of holidays whilst ensuring that all requests are resolved both promptly and thoroughly.
  • Carry out the process of invoicing a customer after a sale has been made
  • Carry out existing business processes using computer programs such as Outlook, Microsoft Excel and Word
  • Assist with the preparation and implementation of mail shots as and when required
  • Learn about the company's destinations in order to assist in selling holidays over the phone and via email
  • Carry out preparation of tours for departure (preparing pre-departure paperwork, preparing hotel rooming lists, paperwork for Tour Managers etc.)
  • Assist in any office administrative duties as required
  • Continuously evaluate and identify opportunities to drive process improvements that positively impact the customer’s experience.

ESSENTIAL SKILLS:
Have strong verbal and written communication skills:

  • A good patient telephone manner is required
  • Letter writing skills. An important part of the job is replying to both emails and letters sent in from customers dealing with praise as well as criticisms in a pro-active manner.
  • Excellent organisation. Capable of multi-tasking through effective planning, prioritising and organising of workload - keeping files in order using email, word and excel.
  • Have a focus on accuracy and quality and a good attention to detail.
  • Have strong communication skills with the ability to negotiate and influence at all levels.
